Keep the Numbers Straight. The Operations Strong. The Business Moving Forward.

We’re looking for a highly organized, detail-driven Accounting & Administration Specialist who knows that a successful construction operation requires more than great projects and skilled people in the field. Behind every well-managed project is accurate financial information, organized documentation, efficient administrative support, and someone who knows how to keep all the moving pieces working together.

This is an opportunity for an experienced accounting and administrative professional to become an important part of a construction team, supporting daily financial operations, project accounting, recordkeeping, and general business administration. We need someone who takes ownership, anticipates needs, follows through, and understands that accuracy and accountability are non-negotiable.

Working remotely, you’ll collaborate with management, project teams, vendors, subcontractors, and other internal departments to ensure financial records are maintained, administrative processes stay organized, and important deadlines never fall through the cracks.

If you enjoy balancing the books, organizing the details, solving problems, and bringing structure to a busy environment, we’d love to hear from you!

What You'll Be Responsible For

  • Manage day-to-day accounting and administrative functions while maintaining accurate, complete, and well-organized financial records.

  • Process accounts payable and accounts receivable, including reviewing invoices, coding expenses, verifying supporting documentation, and coordinating timely payments.

  • Assist with construction project accounting, including tracking project expenses, job costs, budgets, purchase orders, and related financial information.

  • Review vendor and subcontractor invoices for accuracy, proper approvals, contract alignment, and appropriate cost coding.

  • Prepare, process, and maintain customer invoices, vendor statements, expense reports, and other accounting documentation.

  • Assist with monthly reconciliations, account reviews, financial reporting, and month-end closing procedures.

  • Monitor outstanding invoices, payment schedules, receivables, and payables while communicating with appropriate parties regarding discrepancies or overdue balances.

  • Maintain organized digital files, accounting records, employee documentation, contracts, project paperwork, and other confidential business information.

  • Provide administrative support to leadership and project management teams, helping coordinate schedules, documentation, correspondence, and daily operational needs.

  • Assist with payroll administration, employee records, timekeeping, and related reporting as needed.

  • Track insurance certificates, licenses, subcontractor documentation, W-9s, and other compliance-related paperwork.

  • Support the preparation of financial reports, spreadsheets, cost summaries, and operational documents.

  • Communicate professionally with vendors, subcontractors, customers, and internal team members to resolve questions and keep processes moving.

  • Identify discrepancies, investigate accounting issues, and follow through until matters are properly resolved.

  • Help improve administrative procedures, accounting workflows, and organizational systems to increase efficiency and accuracy.

  • Handle sensitive financial and business information with discretion, professionalism, and sound judgment.

  • Jump in wherever needed to support the accounting department and keep daily business operations running smoothly.

What We're Looking For

  • Previous experience in accounting, bookkeeping, business administration, or a related position.

  • Experience within the construction industry is strongly preferred.

  • Understanding of construction accounting principles, including job costing, project expenses, accounts payable, and accounts receivable.

  • Strong knowledge of general accounting practices, financial documentation, and recordkeeping procedures.

  • Experience with accounting software, spreadsheets, and Microsoft Office applications.

  • Familiarity with construction management or project accounting platforms such as QuickBooks, Sage, Procore, or similar systems is beneficial.

  • Exceptional attention to detail and the ability to identify inconsistencies before they become larger problems.

  • Strong organizational and time-management skills with the ability to prioritize multiple responsibilities and competing deadlines.

  • Excellent written and verbal communication skills.

  • Ability to work independently, manage responsibilities remotely, and remain accountable without constant supervision.

  • A proactive mindset with the confidence to ask questions, solve problems, and take initiative.

  • Professional discretion when handling confidential financial, employee, and company information.

  • A dependable, team-oriented approach and a genuine commitment to producing accurate, quality work.

The Ideal Candidate

You're someone who understands that the little details make a big difference. You don't simply process paperwork and move on; you make sure the information is correct, the documentation is complete, and the next person in the process has what they need.

You are comfortable working with numbers, spreadsheets, invoices, and project documentation. You can manage a busy workload without losing sight of accuracy, and you know how to communicate effectively with people across different departments.

You bring structure to busy days, organization to complicated processes, and accountability to everything you touch. You're resourceful, reliable, and comfortable wearing multiple hats when the business needs an extra set of capable hands.

Most importantly, you take pride in your work and understand that strong accounting and administration are essential to a construction company's financial health and continued success.

Compensation & Opportunity
