We are a well-established and growing construction company based in Salt Lake City, UT, specializing in commercial and residential construction projects. Our team is committed to quality, safety, and efficiency in every phase of construction. We are currently seeking a proactive and detail-oriented Office Manager with strong accounting skills to help lead and streamline our back-office operations.

Position Summary:

The Office Manager will oversee day-to-day administrative functions, manage accounting and financial reporting processes, and ensure operational efficiency across the organization. This role is ideal for a high-performing professional with a strong foundation in accounting, familiarity with construction industry operations, and excellent leadership and organizational skills.

Key Responsibilities:

Accounting & Finance

  • Manage all general accounting functions including A/R, A/P, bank reconciliations, and journal entries

  • Oversee payroll processing and compliance in coordination with HR/payroll vendors

  • Prepare and manage monthly, quarterly, and annual financial reports

  • Work closely with outside CPAs and auditors on financial reviews, taxes, and year-end reporting

  • Support project managers with job costing, budget tracking, and financial analysis

  • Ensure compliance with local, state, and federal tax regulations

  • Maintain and reconcile construction-specific software (e.g., QuickBooks, Sage 300, Foundation, or similar)

Office & Administrative Management

  • Manage office operations including supply procurement, vendor relationships, and general upkeep

  • Oversee and support administrative staff, ensuring smooth coordination between departments

  • Implement and refine office systems, procedures, and controls to support company growth

  • Support onboarding/offboarding processes for office and field personnel

  • Coordinate licensing, insurance certificates, contract documentation, and renewals

Communication & Support

  • Serve as a liaison between executive leadership, project managers, and field teams

  • Assist in developing and tracking internal KPIs and metrics

  • Support preparation of internal reports and presentations

  • Help coordinate meetings, events, and internal communications

Qualifications:

  • 5+ years of office management experience, preferably in the construction industry

  • Strong accounting background with a deep understanding of GAAP and construction job costing

  • Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook); experience with Sage, Foundation, or similar construction accounting software is a plus

  • Excellent organizational and problem-solving skills

  • Exceptional attention to detail and ability to manage multiple priorities

  • Strong written and verbal communication skills

  • Ability to work independently and make sound decisions in a fast-paced environment

Preferred Qualifications:

  • Associate or Bachelor's degree in Accounting, Business Administration, or related field

  • Experience working with contractors, subcontractors, and project billing

  • Familiarity with lien releases, waivers, and AIA documentation
